We are currently seeking a highly organized and eloquent Training & Education Coordinator to join our Training & Education department.

As a Training & Education Coordinator, you will be responsible for all venue reservations and negotiations, T&E equipment shipping, and any support materials associated with off site or on-site training and education activities.  Additional responsibility includes program planning, workflow documentation, and team communication regarding department SOP as well as working closely with distribution department, Clinical Coordinators, Team Lead Coordinator and Graphics Coordinator in addition to the following:

•This position is primarily responsible to process and confirm approved smart courses for venue logistic needs, CE’s, equipment, and literature in support of field programs and representative requirements
•Evaluate, assess and document requested training and education equipment and components required  
•Assist Clinical Coordinator with all hands-on materials for outside events and provide distribution with the appropriate documents regarding shipping requirements 
•Review, assess and negotiate as necessary  program venue costs, AV, food, attrition rates, and facilitate all correspondence with catering and or banquet contacts to ensure quote and contract accuracy  
•Coordinates and reviews all venue charge contracts and facilitates  approval signatures as required  
•Reviews and selects food menu items in accordance with region budgets
•Initiates all hotel accommodation reservations for speaker(s) and any other individuals when applicable 
•Reconciles all AMEX charges pertaining to T&E/rep events  
•Provides representative direction and support when needed regarding smart course entries, venue bookings, ordering equipment, components, literature needed for all their events  
•Provides Esthetic Alliance support for individual curriculum models   
•Provides phone support by taking registrations for US and Canada customers; processes payment through SAP  
•Submits all invoices with charge requests for signatures  
•Creates courses in Sales Force (CVM )

Job Requirements


  • A high school graduate with at least two years college in related field or any satisfactory combination of experience and training which demonstrates the knowledge, skills and abilities to perform the aforementioned duties. 
  • Intermediate spreadsheet knowledge is required.  
  • Communicate clearly and effectively verbally and in writing 
  • Demonstrated proficiency with word processing programs and office equipment such as Excel, Word, PowerPoint
  • Must Possess pleasant and professional telephone skills 
  • Must be able to audit and review invoices to ensure for accuracy. The ability to cross reference hotel contracts and invoice charges. 
  • Must have strong negotiation skills. Venue contacts are a plus.


•Must be able to effectively multi-task in a fast-paced environment
•Exhibit knowledge of office practices and procedures, record keeping practices and filing systems
•Must be extremely detailed and able to stay focused under pressure
•Previous experience working in the medical device industry an asset
•Knowledge of Google mail, Sales Force, SAP, Google Drive, and Google Chrome.  Additional program knowledge in Aloom is preferred but not required
