The Service Administrator I position provides administrative support for the service department. The primary role of this position is to provide prompt and accurate customer service support by taking and processing service and repair orders, providing quotes on service and maintaining the internal service schedule. A Service Administrator I will also identify problems and help implement corrective actions leading to continuous improvement.

Essential Functions (specific duties may vary by location):

  •   Answer incoming telephone calls in a professional and courteous manner and route to the appropriate party
  • Respond to requests from internal and external customers by phone, email, fax and mail to provide service policies and procedures, return authorizations (RMA’s) and shipping instructions

  • Maintain instrument service schedule and create associated reports as necessary, reporting issues to the Service Supervisor or Manager for resolution

  • Enter repair orders and quotes for incoming instruments

  • Provide instrument repair status to the customer

  • Secure payment authorization and return shipping information from customer for the service and repair of instruments (PO, credit cards, etc.)

  • Address any billing changes, questions or concerns relating to the repair order and make necessary updates

  • Manage service data within Supply Chain management systems such as MRP and customer management systems such as Salesforce

  • Provide hands-on job function training to coworkers as needed

  • Maintain a clean and organized work area to facilitate service best practices

  • Participate in Kaizen events

  • Work off-shift, as needed, to support department and meet deadlines

    Other Non-Essential Functions:

  • Track and report volume of customer service related emails and phone calls

  • Perform incoming inspection on customer equipment

  • Package or repackage equipment

  • Manage accounts for Third-Party Vendor services

  • Coordinate efforts with other team members

  • Other duties as assigned

Job Requirements


  • High school diploma or equivalent required

  • 2 year successful experience in direct interaction with customers in a customer service environment

  • Ability to effectively interact with co-workers, vendors, customers, management and all other office staff

  • In-depth knowledge of Microsoft Office Suite (including Access)

  • Self-driven, results-oriented with a positive outlook and a clear focus on accuracy and high quality

  • Mature, credible and comfortable in dealing with scientists, engineers and company executives

  • Technical understanding of instrumentation and services

  • History of good employment attendance and punctuality

  • High level of integrity and compliance

  • Attention to detail and high level of accuracy

  • Effective written, verbal and listening communication skills
