Beckman Coulter is looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks to support our Quality and Regulatory personnel. We are looking for an individual who is efficient & comfortable working as a team member.  The ability to multi-task, while maintaining complex schedules, prioritizing effectively and efficiently and managing administrative support is essential in this position.  The ideal candidate for this position is resourceful, a good problem solver and organized. 
Responsibilities include:
  • Supporting multiple people and handling multiple priorities
  • Potential need to coordinate appointments, room reservations, and calendar of QA/RA leaders
  • Coordinating travel and itineraries, assist with expense reports when needed
  • Independently plan, coordinate and execute the logistics of meetings and events
  • Manage day to day department purchases per policy (supplies, meeting registrations, subscriptions, regulatory registrations, etc.)
  • Coordinate logistics process for upcoming office moves and new hire set-up administration (forms, accounts, training, etc.)
  • Coordinate activities across departments and follow-up to ensure that requests are carried out
  • Edit and maintain department documents and files such as presentations, training records, organizational charts and authorization
  • Monitor and measure QA SharePoint for metrics required for audits 
  • Assist with ad hoc tasks as assigned 
  • Creates standard work for admin tasks and looks to drive continuous improvement opportunities
  • Participate on campus teams, organizing and putting on large events and/or meetings

Job Requirements


  • High School graduate with advanced education in clerical, administrative, or business preferred.
  • 4+ years’ experience in an administrative role
  • Proficient with Microsoft Outlook (email and calendaring) and Microsoft Office (Word, Excel, Powerpoint, Teams) software.  Experience with or managing a SharePoint site a plus.
  • Ability to multi-task and re-prioritize and flex tasks regularly to fulfill the needs of the business
  • Experience reviewing email and other correspondence for managers
  • Excellent organizational and communication skills
  • Must be highly motivated and professional, with a positive attitude and desire to continuously improve
  • Ability to maintain confidential information
