Description

The Sr. Administrative Assistant provides secretarial and administrative support for BEC LS VPs.  Frequently interacting with company management, peers and external customers, the incumbent prioritizes fluctuating work requirements, ensuring key milestones are achieved; schedules and maintains one or more executive calendars, coordinating travel and meeting arrangements as needed; may write correspondence; may be assigned special projects.

Essential duties and responsibilities include the following. Other duties may be assigned.
  • Provide administrative support to senior leaders
  • Manage and maintain manager(s) calendar schedule; monitoring, updating, and prioritizing - utilizing good judgment and strong decision-making skills.
  • Prepare a wide variety of documents including letters, forms, reports, and other requested documents.
  • Coordinate domestic and international travel; managing all details pertaining to reservations and itineraries, hotel reservations, ground transportation, documentation needed. 
  • Compiles expense reports, and approves invoices, purchase orders, and vacation requests submitted to manager(s).
  • Prepare material for calls and meetings when needed, taking in consideration global time zones.
  • Maintains general and confidential files
  • Schedule, coordinate, and confirm calls/meetings when needed, to include:
- Reserve conference rooms
- Set up equipment
- Place catering orders
- Initiate conference calls when necessary

  • Order supplies and equipment for designated practice area
  • Demonstrates a flexible attitude and the ability to manage multiple priorities and shifting demands. 
  • Works within a highly confidential environment that requires the ability to use discretion at all times. 
  • Receives directions from the President’s Executive Assistant

Job Requirements



Qualifications

  • High School Diploma or equivalent
  • 4 years’ experience in an administrative role 
  • High level of proficiency in MS Office systems including, Word, PowerPoint, and Excel
  • Excellent written and verbal communication skills
  • Strong organizational skills
  • Ability to multi-task and re-prioritize tasks regularly to fulfill the needs of the business
  • Ability to maintain confidential information
