Description

  • Position Overview:
    This role provides direct support to several business development executives in a challenging, fast paced and rewarding environment. The successful candidate will likely work an 8:00a.m.-12:00 schedule, Mon-Fri but with notice may be asked to change this schedule on occasion depending upon business need.
    Essential Duties and Responsibilities:
    • Serves as administrative support for two business development executives.
    • Appointment scheduling and calendar maintenance.
    • Communicate and coordinate early and clearly with other members of the team to effectively plan schedules. Anticipate potential schedule conflicts and proactively deal with them.
    • Working with business development databases (SharePoint etc.) for project management setup and maintenance.
    • Coordinate travel arrangements, including domestic and international travel.
    • Coordinate meetings for the department and the executives including setting up of conference rooms, audio/visual requirements, arranging catering and/or picking up lunches as needed, etc.
    • Set-up video conferencing and/or phone conferencing.
    • Ordering and stocking of office supplies.
    • Answer/screen phone calls.
    • Prepare and file expense claims.
    • Assist with copying, drafting correspondence, sending FedEx packages etc.
    • Further administrative duties to be assigned based on ability and experience

Job Requirements



Qualifications

Qualifications: 
• College degree or three to five years’ experience supporting executives in an administrative role. 
• Minimum of High School Diploma or GED.
• Experience in a large company is highly desirable
• Successful candidate will be articulate with a professional presence 
• This position will be exposed to highly confidential documents and information in the ordinary course of employment. The ideal candidate will be able to exercise discretion and have experience handling such confidential information.
