Description

  • Job Summary:
    This is an administrative role that will be responsible for a wide range of activities and projects. This position will primarily support the Senior Vice President of R&D, as well as other key Senior leaders with occasional departmental support.

    This role will require a high degree of flexibility, judgment, and organizational skills. Duties include: coordination & maintenance of travel (international & domestic), data, documents, calendars, meetings, expenses, international communication, events, and presentations.

    High level of interaction with Senior Management and Executive Level associates, both internally and externally.

    Beyond administrative duties this position will require detailed project work for various members of the team as needed. Projects may range from events management, presentation assistance, and other projects as needed.


    Responsibilities:
    • Pro-actively manages calendars and schedules (including subordinate 1:1 meetings) and agendas
    • Manages multiple and sometimes conflicting priorities in a high growth and fast paced environment
    • Set-up external conference logistics including meeting registrations
    • Handle travel arrangements
    • Submit expense reports including Sunshine Act reporting
    • Cultivates and maintains positive working relationships internally and externally
    • Interfaces with staff and senior level manger, internal/external cross functional stakeholders, demonstrating a collaborative and “can do” attitude; ensures seamless and efficient flow of day to day operations
    • Compose and edit correspondence and documentation
    • Organize, arrange meals, and send out announcements for internal meetings, conferences, and seminars
    • Arrange travel for visiting scientists and speakers
    • Assist with maintenance of electronic training requirements
    • Assist with departmental ordering as needed
    • Assist with facility issues

Qualifications

  • Minimum Requirements:
    Education and Experience
    • Bachelor’s degree with 0-2 years of related work experience.
    • Minimum of three years of experience as an Executive Assistant or equivalent combination of education and experience to perform at this level
    • Minimum of 5 or more years of experience as an Executive
    • Assistant to top level executives
    Knowledge, Skills, and Abilities:
    • Proven ability to use Microsoft Office suite of products including Word, Excel, Power Point and Outlook calendar and e-mail.
    • Experience with Visio, Access, ACT, and MS Project is helpful.
    • Excellent communication, computer and written skills.
    • Ability to work well under pressure
    • Excellent organizational skills and ability to follow through on projects.
    • Demonstrate effective interpersonal skills. Ability to assimilate, interact and communicate effectively with individuals at all levels of the organization
    • Strong critical thinking, reasoning and problem-solving abilities.
    • Effective organizational, project management, time management and event planning skills.
    • Must be detail oriented, rigorous, self-starter and be able to multi-task
    • Ability to manage projects independently, as well as coordinate with other team members
    • Strong technical expertise with the ability to learn new programs, applications, systems, etc. as needed and budget management
