Description

Position Objective
Contract Administrator will be a hands on role responsible for all the required administration work within the Pall Water Pune organization. This will be achieved by working diligently and professionally with all associates and external customers.
The Contract Administration position is a key central part of the overall operations team. The position involves controlling all the project documents and submittals to meet the project deliverables as well as a broad range of interaction throughout the organisation
Essential Job Functions: 
 
Project Deliverables
  • Assistant the project team in the timely submission of project deliverables
  • Submission tracking and status updating
  • Creation of project O&M Manuals
  • Client Liaising
  • Review Customer PO
  • Assisting in  creation of Transport / Customs documents requirements.
Project Financials
  • Entering of sales orders
  • Assisting the Project Manager in setting up new Project Structures in SAP
  • Assist supply chain with Part number creation and ordering from Pall Factories Overseas
  • Assist the Project Manager in maintaining schedules and keeping client and internal stakeholders informed of progress
  • Maintaining existing and acquiring new bank guarantees
  • Maintain weekly financial reports or as required by the project manager.
  • Invoicing of project milestones
  • Maintaining a master invoicing database to view overdue payments
General Office Duties
  • Take minutes for various meetings including kick off, close outs, client, continuous improvements and follow-up with actions until completion
  • Booking of travel arrangements for staff as required.
  • Actively engage in continuous improvement activities and always looking to improve processes.
  • Approve Timesheets via CATA
Assisting Sales
Assist sales and applications as required to build proposals and provide updated delivery team CV’s
Minimum Qualifications:
  • Bachelor’s degree in Business Administration or related field and four (4) years of relevant experience; or
  • Associates degree in Business Administration or related field with eight (8) years of relevant experience
  • Demonstrated competence in the use of a PC in a Windows environment with a particular emphasis towards Word, Excel and SAP
Position Competencies
  • Shall at all times use personal initiative to plan ahead and appropriately forecast where possible, to prevent potential problems from arising.
  • Shall use sound judgment when liaising with Customers, colleague’s or contractor’s to solve any problems in a professional manner if and when required.
  • Will need to initially troubleshoot problems as they arise and solve if possible in conjunction with the team
  • Sound Knowledge of Windows, Word, Excel and MS Project
  • Excellent written and oral communication skills
  • Highly Organised and methodical
