Commercial Administration – Bid Coordinator

Base: High Wycombe – Office based


Job Purpose:

The position of Bid Coordinator is a key role in the Commercial Services Team, contributing to the company’s success through high quality tender bids.

The successful candidate will be responsible for the administrative co-ordination of our major tender bid submissions – particularly Managed Laboratory Services – organising bid resources and processes, and working closely alongside sales, technical and commercial specialists from across the company.

In addition the role includes a range of administrative support for all commercial activities within the company.

Key responsibilities and accountabilities:

  • To coordinate and work on our Healthcare tenders from the first OJEU notice to end result. This will require coordination of telephone conference calls with a project team and acting as the key integration point for all project input, ensuring all related documentation and communications are recorded and filed correctly

  • Handle multiple tender projects at any one time.

  • Build a sound knowledge of Beckman Coulter products and Services over time

  • Use efficient work systems and maximise use of the Tender Eyes™ bid management system by our bid team to streamline the bid creation process.

  • Work with the internal sales sponsor to understand the customer’s requirements and our outline solution.

  • Participate in bid team meetings throughout the tender process.

  • Be bid co-ordination lead for tender projects, supporting the sales project lead, ensuring document content and accuracy is of a high standard throughout the duration of the project. Check format and literacy of project documentation.

  • Work closely with our sales product specialist to coordinate the interchange of requests and bid material from 3rd party sub-contractors.

  • Prepare standard reports on bid pricing for business approval and sign-off.

  • Review and monitor bid progress, resolving issues and problems, escalating where relevant issues that would impact on bid completion/quality to Senior Management for their resolution.

  • Comply with the requirements of Beckman Coulter’s data security and document management policies.

Additional administrative duties:

Familiarisation with core Commercial Admin activities to include:-

  • Processing of customer proposals, sales orders and profitability reports

  • Administer and maintain sales order tracking records

  • General commercial support, booking new customer contracts in our Oracle ERP system

  • Administration of Sales filing systems and of sales and commercial services paperwork.

There will be occasional work to support the Facilities Manager with some post-room functions.

Job Requirements


Person Profile:


  • Some previous experience with healthcare tender bids and/or contracts.

  • Able to work on own initiative and with minimal supervision, an agile learner.

  • Well organised with good attention to detail maintaining high standards of delivery, quality & accuracy.

  • Ability to prioritise a varied workload, comfortable in dealing with and resolving ambiguity.

  • A team player who is able to collaborate with others to achieve business goals.

  • Strong communication skills; confident and articulate in all communications i.e. face-to-face, telephone and written communications.

  • Ability to work productively under pressure of tight deadlines in a busy environment that may occasionally include some late working to meet a deadline.

  • Applicants must be computer and IT literate, competent with MS Office 2010 or higher.


  • Previous experience in a pathology diagnostics company

  • Previous experience with ERP systems such as Oracle/SAP

  • Previous experience with MS Sharepoint based collaboration tools.
