Additionally, you will be responsible for training Cepheid employees in our AP, expense report and payment card processes. This role will be the person that will help to remove hurdles for the AP team and will champion and monitor issues until they are resolved.

      Job Summary

      Cepheid is looking for a self-motivated, detailed, process-oriented individual to oversee and activities of our AP team and ensure continuity of Cepheid policies to them.  Additionally, you will be responsible for training Cepheid employees in our AP, expense report and payment card processes.  This role will be the person that will help to remove hurdles for the AP team and will champion and monitor issues until they are resolved.

      Job Responsibilities

    • Weekly meetings with AP team to work through issues
    • Full understanding of AP processes and procedures
    • Ensure monthly close timelines are adhered to by team
    • Owns YE 1099 process and subsequent B-notice responses
    • Work with Purchasing, IT, AccuImage (AP workflow software) and AP team to close out and resolve issues as needed
    • Responsible for coordinating efforts between Cepheid Operations team and AP team to ensure we hit our DPO targets
    • Company Administrator for AccuImage (AP workflow)
    • Co-Administrator for Concur
    • Administrator of company Pcard program with US Bank
    • Review and update Travel policy & Pcard policy annually
    • Responsible for rolling out any policy changes to the AP team
    • Develop company-wide training program on AP, T&E and Pcard processes
    • New hire training as well as quarterly company-wide trainings for employees
    • Demonstrate and maintain a positive customer service focus to both internal and external customers at all times
    • Point person for internal escalations and emergency payment requests
    • Ensures quarterly Sunshine Act reporting responsibilities are met on time
    • Coordinate audit requests with AP team
    • Assist with special projects as needed
    • Ensure SOX compliance by adhering to internal control requirements, maintaining updated documentation for AP related processes and providing recommendations as appropriate

Qualifications

Required Knowledge, Skills and Abilities
  • Bachelor’s degree or similar or equivalent work experience preferred.
  • Minimum of 5+ years practical work experience in progressive AP positions.
  • Working knowledge of AP best practices and system integrations.
  • Ability to handle confidential information discretely.
  • Ability to understand issues, demonstrate resourcefulness and pro-actively resolve problems and manage multiple projects in a timely manner (Ability to go to Gemba).
  • Ability to work cross-functionally and cross-culturally
  • Strong analytical & problem-solving skills to research and resolve inquiries and respond in a timely manner.
  • Solid organizational skills: task prioritization and effective time management.
  • Excellent customer service and communication skills, both written & verbal.
  • Mid- to advanced PC skills using Outlook, Word, Excel (ability to perform pivots, V-lookups and other functions with Excel).
