The Repairs Customer Support Representative is responsible for management of service repair orders, service loaner program, and entering incoming service repair data into SAP.  The Repairs Customer Support Representative collaborates with the KaVo Data Entry and Repair Technician teams to ensure timely and accurate service to the KaVo customer base. 
Essential Duties and Responsibilities:
  • Follows written procedure to enter all information associated with incoming repair requests and other service order procedures into SAP database,
  • Manage the Service Loaner program by entering all orders, pulling product from inventory, receiving incoming loaner returns, updating the status in the system, and maintaining Excel spreadsheet on all loaner products
  • Respond to all incoming service requests, pricing inquiries, and invoice inquiries via phone, email, or fax
  • Manage equipment replacement program, equipment service loans, and repair returns
  • Administer credits, adjustments, and billing to customer accounts
  • Communicates non-standard circumstances or potential problems to manager, repair technicians other team members as necessary
  • Tracks and documents daily production levels and meets all daily productivity goals
  • Maintains accuracy of order and correctness of all data entered
  • Runs reports based on status of current orders and returns
  • Acts as back-up for Repair receiving and shipping functions
  • Cross-train as necessary
  • Perform other duties, as assigned

Job Requirements


The Repairs Customer Support Representative must be an independent worker, capable of operating in a fast-moving, ever changing environment.   The Repairs Customer Support Representative must have strong interpersonal skills and desire to work in a specialized customer – focused environment.  Additionally, this role requires ability to learn and utilize databases and other complex computer software. Qualified Repairs Customer Support Representative will have excellent PC skills.
Education and/or Experience:
  • 3+ years of experience in data entry role required
  • 1+ years of experience in a Customer Support role preferred
  • Experience with distribution and/or business to business operating environment preferred
  • High School Diploma or equivalent
