The Project Specialist/Executive Assistant will support the Corporate Regulatory Affairs & Quality Assurance (RA/QA) team including the Sr. Vice President, a Director, and the audit team of the Regulatory Affairs & Compliance Department with Site Audit information Management, Event Coordination and various administrative duties and projects.


(~ 20% weight, more in year of RA/QA conference)

  • Manages all logistics to support meetings, including video conferencing, media equipment, catering, procurement, etc.
  • Schedule domestic and international travel.
  • Complete/audit expense reports for submission.
  • Communicates effectively with functional counterparts in a collaborative manner while meeting critical organizational deadlines.
  • Notary Public.

Site Audit Information Management 

(> 50% weight)

  • SME & System Admin for the RA/QA Corporate Department website.
  • SME & System Admin for Master Control audit module for data management of our site. audit report processing and distribution of 27+ global sites.
  • Administer comprehensive detail management of the GMP/QSR Audit Schedule and files (incorporating new acquisitions), for all of the global DHR FDA-Regulated Sites, reflecting deadlines, scope and milestones of each audit.
  • Established and manage the daily management audit schedule (wall board) for 30+ audits.
  • Update and maintain the DHR Site Audit Ratings spreadsheet as derived from the FDA-regulated Site Internal GMP/QSR Audit Schedule and submit to management quarterly.
  • With an eye on accuracy, assuring confidential documents issued by the department meet the high standards of expectation required.

Event Coordination 

  • Coordinate various off-site meetings, training programs (Executive RA training, RAQA Software training, Master Control training, staff meetings and Kaizen events).
  • Manage details of event such as venue, catering, supplies, training certificates, handouts, and agendas.
  • Foster relationships with vendors and off-site personnel to achieve cost retention and seamless coordination of each event function.
  • Every 18 months (approximately), plan and execute the Dental RAQA Conference with 100+ global attendees.

Job Requirements



  • Bachelor's degree (B.A. or B.S.) from a four-year college or university;
  • 5+ years related experience and/or training; or equivalent combination of education and experience.

  • Experience in a large, global company is highly desirable.
  • Proficient in Microsoft Office programs, including Outlook, Word, Excel and PowerPoint and Access.


  • Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software.
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities.
  • Exceptional interpersonal skills.
  • Friendly and professional demeanor.
  • Strong interpersonal skills adept at interfacing across levels and functions.
