This position is responsible for the Product Occurrence Resolution (POR) system, which includes logging, assigning and follow-up through completion of Exceptions/COR’s and closing out to the appropriate sales group.  Reviewing root cause and corrective action for appropriateness, then disseminating this information in a timely manner to the customer is the most critical part of this job.  Also required to determine which complaints need a credit issued.  Essential Job Functions:  Maintain POR systems, (Smart Solve-Pilgrim and COR System-CATSWEB), which includes logging and completing all POR’s for Pall Pensacola and administration of the database for Pensacola; Evaluate incoming complaints and redirect to other sites/SLS, etc. as appropriate; Maintains and addresses complaint issues relative to customer needs; Assign to the appropriate Engineer/Supervisor and assist in the resolution as needed; Provide status to Sales/Complaint initiator; Follow up on open complaints to ensure timely resolution; Keep top management apprised of major customer issues; Determines the validity of complaints with respect to returned goods/ test results for POR resolution and issue credits as appropriate; Develop and assist in the development of reports as needed to trend POR system; Request and follow up on lab testing for investigation and resolution of PORs; Responsible for training Alternate Complaint Coordinator on systems and processes; Provide input/suggestions on Smart Solve-Pilgrim and COR/CAPA system for management/process improvements.

Job Requirements


Minimum Qualifications:  Has good knowledge of product lines and process flows to accurately assign complaints and review/approve investigation results: Customer, Product End-Use, Process (Incoming QA à Mix Room à Belts/MBM à Windup à QA à Slitting à Packaging à QA à Shipping), and Product Characteristics).  This is typically gained through the completion of a high school diploma with a minimum of 9 years or more experience in Quality or an Associate degree with a minimum of 6 years of experience within the business sector with hands on involvement with products and processes. Demonstrated ability to communicate in a business environment and interact with sales personnel to meet customer needs, both professionally and empathetically when dealing with both internal and external customers. Computer skills with Microsoft Windows, Word, Excel, Lotus Notes, ERP, Pilgrim Complaint Module, Catsweb.  Good conceptual working knowledge of laboratory/manufacturing testing. Excellent problem-solving skills.  The ability to analyze a problem thoroughly and review solutions for adequacy.  Also, the ability to collect, analyze and present data and conclusions in a logical manner. Ability to effectively work in a team environment. Ability to read and analyze technical data, interpret results and analyze SPC charts. Knowledge of basic mathematical and statistical concepts and techniques. Thorough knowledge of ERP System transactions for complaint investigation. Knowledge of databases used throughout the company for tracking batches/lot # systems/test results.  Participate in Safety, Continuous Improvement and support Kaizen projects as needed. ISO9001 / ISO14001: Knowledge and understanding sufficient to perform internal auditing, generate CAPAs and verify effectiveness of POR and CAPA corrective actions.  Certified Quality Auditor (CQA) and Certified Quality Technician (CQT) desirable.  Operations:  Knowledge and understanding of Company organization, associated personnel, policy, practices, and procedures. Organizational:  Ability to organize and prioritize a large volume of complaints; accurately file documentation (electronic and paper). Accurate tracking is critical for customer response and plant metrics. Sitting:  Ability to sit and perform work at computer keyboard at least 50% of 8-hour work day.  Machine Operation:  Ability to operate company-provided communications and computer hardware/software required (i.e. fax machine, copier, scanner, telephone).  A high level of sound judgment is needed for this position to communicate critically needed information without providing company-degrading information when it is not necessary. Interpersonal:  High-level proficiency in written and oral communication in interactions with all levels of individuals interdepartmentally as well as intercompany, to gain the cooperation and supportive efforts of others in achieving Company and departmental goals.  This position requires a high level of concentration, attention to detail and the ability to respond accurately and appropriately regarding status and resolution of customer complaints.
