Description

The Office Manager is responsible for organizing and coordinating office procedures, operations and resources to ensure organizational efficiency and effectiveness while providing administrative support activities to the Plant Manager and Site Management to ensure the effective day to day operation of the organization at the site level.

  • Manage the administration of building access badge system for associates, vendors, and visitors
  • Maintain and manage the distribution of basic office supplies for administrative offices
  • Manage time effectively to meet and exceed deadlines to ensure availability for additional ad-hoc projects
  • Serve as site Receptionist and initial point of contact both by telephone and in person; this includes:  answer, screen and direct all incoming calls, handling issues appropriately, transferring or relaying messages internally and externally
  • Site support and internal point of contact for sales and marketing; communicate training events with local team and ensure prior knowledge of customer presence is clearly communicated to all associates
  • Maintain internal calendar(s) by planning and scheduling meetings, conferences, teleconferences, Town Halls, travel and other events as delegated 
  • Coordinate and/or assist in the planning of trainings, courses, special events to include but not limited to the company picnic, holiday party and other events as delegated.  Order catered meals for trainings, Kaizens and other events as delegated.
  • Support the Site DBSL/DBS Operations Director as defined by the DBS Standard Work such as, Kaizen Events, Event Planning, Room bookings, catering, and coordination of daily and weekly updates.
  • Keep all aspects of work, schedules, and other company information confidential.
  • Coordinate and manage travel arrangements, bookings, and hotel reservations; coordinating reimbursement in a timely manner for the Site Leadership Team.
  • Compose, organize, and maintain confidential correspondence, reports, and other documents, and effective PowerPoint presentations as assigned.
  • Assist in monitoring business expenses, order and maintain department office supplies, and arrange for equipment maintenance.
  • Responsible for the office calendar, appearance and readiness of the Lobby Entrance Desk, reception and surrounding areas.
  • Route incoming mail, and prepare all outgoing mail, email, and fax correspondence to appropriate designations

Qualifications

REQUIREMENTS:

  • Two years of prior experience in similar role
  • Proficient in Microsoft Office Suite (Excel, Power Point, Word)
  • Proven ability to manage multiple tasks in an often complex environment
  • Professionally represent Nobel Biocare Systems
