GENERAL DESCRIPTION

Reporting directly to the Danaher Water Quality, General Counsel - Americas with a dotted line to the ChemTreat, VP Marketing; the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Offices of the General Counsel - Americas and Vice President, Marketing. The Executive Assistant also serves as a liaison to the senior management teams and the functions reporting into Legal/Marketing Teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects.
The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
 
ESSENTIAL FUNCTIONS & RESPONSIBILITIES
  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
  • Actively manages executive's appointment schedule, serves as “air traffic controller,” and assures appointments are successful by planning, scheduling, and managing meetings, conferences, teleconferences, videoconferences, WebEx and travel; assuring executive’s calendar is manageable; and communicating with executive regarding schedule
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, printing, and transmitting text, data, and graphics
  • Performs internet searches and information retrieval
  • Conserves executive's time by handling all administrative activities, including but not limited to:
    • Reading, researching, and routing correspondence
    • Managing expense reports; flexible spending and healthcare reimbursement filings
    • Drafting, formatting and proofreading letters and documents
  • Prepares reports by collecting and analyzing information; and initiating telecommunications
  • Assures continuing legal education requirements are met by tracking and periodically communicating requirements, filing for credit for courses, and maintaining records as needed
  • Represents the executive by attending meetings in the executive's absence; speaking for the executive.
  • Provides historical reference by developing and maintaining filing and retrieval systems; recording meeting discussions
  • Assist in the management of matters in legal expense management system (Serengeti/Legal Tracker)
  • Support Contracts Manager for organization and maintenance of contract files
  • Manage background screening and certification requests from sales and technical associates to meet customer facility access requirements
  • Serve as subsidiary management administrator for Water Quality – Americas companies
  • Administer international travel visa and clearance letter requests
  • Manage Water Quality Law Department sharepoint site
SUPPLEMENTAL RESPONSIBILITIES
  • Support all other administrative staff in back up situations.
  • Maintains office, including assuring cleaning and watering/caring for plants
  • Handle all individually assigned tasks; share interdepartmental communication; other duties as assigned

EDUCATION & EXPERIENCE
  • High School Diploma; business school or college courses preferred
  • Minimum 5+  years relevant experience (preferably including experience at large law firms, corporate legal departments, or corporate executive offices)
